Transaction Coordination

The Transaction Coordinator (TC) is responsible for efficiently managing the home sale or purchase transaction.  The TC manages all of the following duties and reminds the agent of current and upcoming events to ensure the transaction closes smoothly.

Process Outline

All documents and disclosures are handled per your Broker’s Checklist.  If you do not have a Broker’s Checklist, one will be created for you using the most common documents.*

  • Review Purchase Agreement and ensure that both buyer and seller have signed and initialed the contract, amendments and counter offers
  • Prepare an event timeline and a list of contingencies
  • Create a contact sheet of all parties involved and distribute
  • Prepare the Seller Disclosure Package using Zip Forms. Review for completeness upon return by the seller
  • Open escrow and obtain the file number
  • Send all of the seller disclosures to the buyer or buyer’s agent for signature via DocuSign. Once returned, we review the documents for completeness and all required signatures, dates, etc.
  • Order the Natural Hazard Report and home warranty policy if applicable
  • Consult with seller in scheduling a termite inspection (if required).
  • Follow up with escrow to ensure that the buyer has deposited the earnest deposit check and has returned their escrow documents.
  • Regular follow up with the buyer’s agent and buyer’s lender to find out the status of the loan progress. Ensure that the appraisal has been ordered to meet time lines.
  • Follow up weekly on missing paperwork from all sides of the transaction
  • Verify 1 week prior to closing that all documents, repairs and loan documents are ready for finalization; send notices to perform if needed.
  • Request escrow to send an Estimated HUD Closing Statement for audit of closing costs.
  • Final review of the file for document compliance.

All documents are stored online in a shared DropBox folder and sent to you via YouSendIt.com at the end of the transaction.  If you prefer to use your company’s Transaction Management software, you must provide us access and purchase any additional licenses that may be needed.

*New client must include a Broker’s checklist.  If you do not have one, we can create one for a one-time fee of $75
